Note: If you plan to attend the VTSS Secondary Schools Pre-Symposium to be held on March 24, 2020, you MUST register separately for that day’s training (see below).

How to Register:

Attendees will register at the registration site. The deadline for registering is Friday, March 13, 2020, OR when the maximum number of registrations has been reached, whichever is sooner. There is no registration fee for this event.

Note: This training is for pK-12 educational professionals in the Commonwealth of Virginia. We reserve the right to cancel registrations of individuals who do not meet this criterium.

Participants must check in at the VTSS desk on Wednesday, March 25, 2020. Your reimbursement/payment forms will be included in your March 25 registration packet that you will receive upon check-in.

Certificates:

Certificates of Attendance will be distributed at the conclusion of the training. We do not issue formal Continuing Educational Units (CEUs).

Overnight Accommodations

By the deadline, you must contact the hotel directly to secure your overnight accommodations. Upon check-in, overnight accommodations for the night of Tuesday, March 24 (state rate room and taxes) will be moved to the VTSS master bill if you are traveling more than 100 miles to the site location (one way) and as long as the block remains open. Overnight accommodations are very limited and are available on a first-come, first-serve basis. Once the block is full, additional rooms may not be available.

You must guarantee your reservation with your personal or school credit card. Please make the overnight reservation in the name of the guest (regardless of whether or not the credit card is in the guest’s name or the school/division name). Keep your confirmation number handy should questions arise.

When making your overnight reservations, you must book your room within the block name. Rates cannot be changed at check-in or check-out for guests who fail to identify their affiliation at the time the reservation is requested. Overages for not identifying the block name will be charged to personal/school credit cards. If you do not book your room within the designated block, the charges may not be able to be transferred to the block. In such cases, the VTSS project will be unable to pay for the overnight room.

If you find you cannot attend the training, reservations must be cancelled in accordance with hotel policy to avoid being charged one night’s room and taxes. Rooms that are not cancelled (“no shows”) will be billed to your personal or school credit card. The VTSS project cannot pay for failure to cancel or “no show’ room expenses.

Upon check in at the VTSS registration table on March 25, block overnight room charges (state room rate and taxes only) for the night of March 25 will be moved to the VTSS master bill for payment.

Travel Reimbursement for Mileage

Travel reimbursement for mileage to and from the professional learning site will be reimbursed at the current per diem mileage reimbursement rate according to gsa.gov ($.575/mile) if the participant travels more than 50 miles to the training site (one way) to attend the training. We recommend carpooling. (Car rental/rental gas is not reimbursable.) To be reimbursed for mileage, you must bring a printed round trip MapQuest/Google to attach to your reimbursement paperwork. The reimbursement paperwork will be available in your March 25 check-in registration packet.

If you are attending the March 25 training only, you must submit the completed travel reimbursement paperwork to VTSS personnel at the VTSS check-in desk by 2:00 p.m. on March 25. Paperwork cannot be accepted after that time.

If you are attending both the March 24 and 25 trainings, you must submit the completed travel reimbursement paperwork to VTSS personnel at the VTSS check-in desk by 2:00 p.m. on March 25. Paperwork cannot be accepted after that time.
